Designed around five rules

The ledger is not built yet. These are the rules of its design.

Balanced or not posted.
An entry posts only when debits equal credits.
Numbers without gaps.
Posted entries are numbered in order, no gaps, no reuse.
Balances from entries.
A balance is never stored, only summed from posted lines.
Each school apart.
One install holds many schools, built to keep each school's books apart.
Charges and payments by file.
Built to take charges and payments from the school's information system by file, one way.

Who does what

One role per account.

Cashier.
For staff who take money. No cash screen yet.
Finance & Accounting.
Keeps the books. Designed so staff draft and an admin posts.
Auditor.
Reads. Writes nothing.
MIS.
Runs the system: accounts and settings. No financial approval.

How a correction is designed to work

  1. Post.

    An entry gets its number and period when posted.

  2. Reverse.

    A mistake is reversed by a new entry, with a reason.

  3. Enter again.

    The right entry is posted as new. The original is never touched.
